9 AI tools for tax preparers: what each one does, what it costs, and the catch

These are the nine tools we checked for independent tax-prep shops on 2026-07-20. We do not list tools we have not checked. For each one you get what the vendor says its AI does, the exact price the vendor publishes, who it fits, and the catch. Prices change, so confirm with the vendor before you buy.

The short version

  • Scope: nine tools, all prices checked 2026-07-20 against each vendor's own page. If a tool is not here, we have not checked it, so we are not going to tell you about it. Where a vendor publishes no price, the price cell says quote-based and we do not guess a figure.
  • The cheapest way in is per return, not per month. Drake Tax Pay-Per-Return is $379.99 and includes 10 returns, then $49.99 per extra individual return and $74.99 per extra business return. Nothing bills you in July.
  • Per-user plans bill all 12 months, including the months your office is empty. Canopy Standard is $74 per user per month billed annually. SmartVault runs $55 to $85 per user per month with a user minimum. TaxDome runs $700 to $800 per seat per year for Essentials, and the low end needs 1 to 3 years prepaid up front.
  • If your bottleneck is chasing documents, the fix is priced per return. SmartVault's SmartRequestAI add-on is $12.50 per return, sold in 50-return bundles at $625, and it is not included in the base subscription. GruntWorx does the same organizing job but publishes no rate card at all.
  • Research tools are the priciest per person. Blue J is $1,498 a year for one solo seat. TaxGPT is quote-based and requires a sales demo before it will activate your account.
  • Who this is not for: a one-person shop doing 60 returns a season should not be buying a $3,145 unlimited license or a $1,498 research seat. Start with pay-per-return and add one thing at a time.
  • Before any client data goes in, read the rules. Internal Revenue Code Section 7216 is a criminal statute about consent. The FTC Safeguards Rule requires you to have a WISP, a Written Information Security Plan, with no small-firm exemption. And IRS OPR Alert 2026-19, issued June 24, 2026, is the IRS's own guidance on using AI in tax practice.

What it is. TaxDome is a practice-management platform with a client portal. Documents, e-signatures, invoicing and client messages live in one place instead of being spread across email and a shared drive.

What it is. Canopy is a practice-management platform that sells its AI as separate features you can turn on as you need them, rather than one big switch.

What it is. Drake Tax is the return software itself. The AI piece, Drake SmartExtract, sits inside it and reads your source documents.

  • SmartExtract "automatically extracts data from supported tax documents -- W-2s, 1099s, K-1s -- and populates it directly into tax returns," in the vendor's own words. A K-1 is the form that reports income from a partnership, S corporation or trust.

Cloud tax software with AI assistance

What it is. ProConnect Tax is Intuit's cloud tax software. You buy returns rather than a license, which suits a shop whose volume swings.

What it is. GruntWorx organizes the pile of source documents clients drop on you and pushes the numbers into your tax software. It works with Drake, Lacerte, ProSeries, UltraTax and CCH Axcess.

Automated bookkeeping data entry (Sage)

What it is. AutoEntry handles the bookkeeping side, not the return. If you keep books for clients between filing seasons, this is the one that touches that work.

What it is. Blue J is research, not prep. An EA is an Enrolled Agent, a preparer licensed by the IRS to represent taxpayers. If you are the person who loses an afternoon to one hard question, this is aimed at you.

How to choose

Which one do I start with?

Pick by the shape of your shop, not by the feature list. Buy one thing, use it for a season, then decide about the next one. Every price below is the vendor's own, checked 2026-07-20.

You are solo, doing under about 100 returns

Do not buy a subscription. Drake Tax Pay-Per-Return is $379.99 and includes 10 returns, then $49.99 per extra individual return. Nothing bills you in the off-season. Drake's SmartExtract, which reads W-2s, 1099s and K-1s into the return, is free during its beta, though it only runs in Drake Tax Online right now. Skip the $3,145 unlimited license and skip the $1,498 research seat. At your volume neither one earns its keep.

You are 2 or 3 people and drowning in document chasing

This is the one problem worth paying monthly to fix. SmartVault Accounting Pro is $65 per user per month billed annually with a 2-user minimum, and the SmartRequestAI add-on that builds the request list off the prior-year return and chases the client is $12.50 per return, sold in 50-return bundles at $625. GruntWorx does the organizing side with no subscription, but you have to call for a rate. Get that rate in writing before the season starts.

You are a high-volume shop

Once your return count is high enough, the flat license wins on arithmetic. Drake Tax Pro Unlimited is $3,145 for tax year 2026 with unlimited individual and business returns, and the vendor says that price is promotional and ends November 30. The 1040-only version is $2,325. If your volume swings hard year to year, Intuit ProConnect Tax lets you buy returns instead, at $76.97 per individual return, dropping to as low as $30.07 at 200 or more prepaid. Remember the $105 per user access fee on top.

You keep books year-round on the side

The return software does nothing for the bookkeeping months. AutoEntry starts at $13 a month for 50 credits and goes up to $469 for 2,500, and the vendor says it pulls line items off invoices, receipts and bank statements and publishes them into Xero, QuickBooks or Sage. Watch the expiry: unused credits die after 90 days, so buy the tier you actually use, not the one you hope to grow into.

What it actually costs: three worked examples

Every figure below traces to a vendor's published price, checked 2026-07-20. The arithmetic is shown so you can check it. Tools billed annually bill in the off-season too, so a monthly price is really twelve payments, not four.

  1. The document grind, solo, pay as you go.

    Drake Tax Pay-Per-Return is $379.99 and the first 10 returns are included. At 60 returns for the season that is 50 extra individual returns at $49.99 each, so $49.99 × 50 = $2,499.50, plus the $379.99 base = $2,879.49 for the season. There is no monthly software subscription at all, which makes this the lowest-commitment way in.

  2. A small shop that wants the chasing to stop.

    Canopy Standard is $74 per user per month billed annually. For two people that is $74 × 2 = $148 a month, and it bills in July as well as February, so $148 × 12 = $1,776 a year. Add Drake Tax Pay-Per-Return at $379.99 and you are at $2,155.99 before a single extra return. Add the extra returns on top at $49.99 each.

  3. Volume shop, everything switched on.

    Drake Tax Pro Unlimited is $3,145 for the tax year. SmartVault Accounting Pro is $65 per user per month billed annually with a 2-user minimum, so $65 × 2 = $130 a month, and $130 × 12 = $1,560 a year. That is $3,145 + $1,560 = $4,705. One 50-return bundle of SmartRequestAI at $12.50 per return adds $625, taking you to $5,330. If hard questions are eating your season, one Blue J seat at $1,498 a year brings it to $6,828.

We are not going to tell you what you will save. Nobody has measured that in your office, and a number we made up would be worse than no number at all.

One more time on who this is not for: if you are one person filing 60 returns between February and April, the $3,145 unlimited license and the $1,498 research seat are the wrong buys. The rules that govern feeding client data into any of these

Read this part before you buy anything. You sign the return, so the responsibility stays with you no matter which tool touched it. This is general information, not legal or tax advice.

  • IRS OPR Alert 2026-19, issued June 24, 2026. Start here. This is the IRS Office of Professional Responsibility's own guidance on AI in federal tax practice, titled "Introductory Guidelines for Responsible AI Use in Federal Tax Practice." It says you must review every AI-produced document and verify the facts, citations and calculations before it goes to a client or the IRS, because relying on the AI alone is not due diligence under Circular 230 Section 10.22. It says that if AI cuts your time, billing for manual hours you did not work, or double-billing for AI-assisted work, can be an unconscionable fee under Section 10.27(a), and that cost savings should be passed on and disclosed openly. It says competence under Section 10.35 now includes understanding the AI tools you use: how they work, where they fail, and their risk of bias or error. It says firm procedures under Section 10.36 require written policies for staff AI training, secure data handling, monitoring AI accuracy, and reviewing any third-party AI tool before you adopt it. It says AI-generated projections and citations cannot be relied on without independent verification under Section 10.37, and that if you cannot see how the AI reached its answer, relying on it may be unreasonable. On confidentiality, under Section 10.51(a)(15) with Internal Revenue Code Sections 6713 and 7216, it says never upload sensitive taxpayer data to an unsecured or public AI tool, only to secure tools with real confidentiality safeguards. The alert cites a real cautionary case: Deloitte Australia had to partially refund a government client after an AI-assisted report contained fabricated quotes and citations.
  • Internal Revenue Code Section 7216: consent before taxpayer data goes anywhere. This is the rule that matters most before you put a client's return information into any AI tool. Section 7216 is a criminal statute. Knowingly or recklessly disclosing or using a taxpayer's return information without the required consent carries a fine of up to $1,000 and up to a year in prison per violation, plus separate civil penalties under Section 6713. Treasury Regulation 301.7216-2 lists the narrow disclosures allowed without consent.
  • Your WISP, and the FTC Safeguards Rule behind it. A WISP is a Written Information Security Plan. Tax preparers are treated as financial institutions under the Gramm-Leach-Bliley Act, so the FTC Safeguards Rule, 16 CFR Part 314, applies to you. It requires a written security plan with named elements: a qualified person in charge, a risk assessment, access controls, encryption, multi-factor authentication, staff training, vendor oversight and an incident-response plan. Breaches affecting 500 or more people must be reported to the FTC within 30 days. There is no small-firm exemption, so a solo preparer with one client is covered. Any new AI tool has to be named in your WISP and reviewed as a vendor. IRS Publication 5708 is a free WISP template and Publication 4557 is the companion guide.
  • Circular 230 applies the same whether or not software did the work. Circular 230 is the Treasury rulebook for practice before the IRS. Section 10.22 covers due diligence, 10.35 competence, 10.36 firm procedures, 10.37 written advice and 10.27(a) fees. Using AI does not move responsibility for the return off you.
  • PTIN and EFIN. A PTIN is a Preparer Tax Identification Number. Anyone who prepares or helps prepare a federal return for pay must have a current-year PTIN, and Enrolled Agents need one too. The fee is $18.75 to apply or renew. An EFIN is what you get when you become an IRS Authorized e-file Provider, and you need it to e-file. Both are on you, not on the software.

Can AI prepare a tax return for me?

No. It can pull data in and flag problems, and you review all of it. Drake SmartExtract, Intuit ProConnect's intelligent data import, Canopy's Smart Tax Prep and GruntWorx all move numbers off source documents and into a return. TaxGPT says its agent, which it calls Andrew, matches source documents against the return to flag errors and missed deductions. You sign the return, so under Circular 230, the IRS rules of practice for tax professionals, the work is yours. IRS OPR Alert 2026-19 says plainly that relying on the AI alone is not due diligence.

Do I need client consent before putting tax data into an AI tool?

Usually yes, and this is the rule to get right first. Internal Revenue Code Section 7216 is a criminal statute. Knowingly or recklessly disclosing or using a taxpayer's return information without the required consent carries a fine of up to $1,000 and up to a year in prison per violation, plus separate civil penalties under Section 6713. Treasury Regulation 301.7216-2 lists the narrow disclosures allowed without consent. Read the IRS Section 7216 information center before you upload a single client file, and talk to your own counsel. What does the IRS say about using AI in tax practice?

The IRS Office of Professional Responsibility issued Alert 2026-19, "Introductory Guidelines for Responsible AI Use in Federal Tax Practice," on June 24, 2026. It says you must review every AI-produced document and verify the facts, citations and calculations before it goes to a client or the IRS. It says billing for manual hours you did not actually work, or double-billing for AI-assisted work, can be an unconscionable fee, and that cost savings should be passed on and disclosed openly. It says competence now includes understanding the tools you use and where they fail. It says you need written firm policies for staff training, secure data handling, accuracy monitoring and vendor review. It says never upload sensitive taxpayer data to an unsecured or public AI tool. The alert cites a real cautionary case: Deloitte Australia had to partially refund a government client after an AI-assisted report contained fabricated quotes and citations.

Is GruntWorx an AI tool?

By the vendor's own wording, no. GruntWorx's product page describes what it does as OCR, which stands for optical character recognition, meaning software that reads text off a scanned image, plus automated data extraction. It does not call it AI. It is on this page because it does the same job as the AI document tools here, not because the vendor markets it as AI. Its pricing is quote-based, with no rate card published.

Which of these tools bill me in the off-season?

Every per-user monthly and per-seat annual plan on this page. Canopy, SmartVault, TaxDome and Blue J all bill for the whole year whether or not anyone logs in during July. TaxDome's lowest advertised price needs 1 to 3 years prepaid up front. The tools that do not bill you in the off-season are the per-return ones: Drake Tax Pay-Per-Return, Intuit ProConnect's per-return pricing, and GruntWorx, where the vendor says you add funds and draw them down as you use them. For a seasonal shop this is the single biggest cost difference between two tools that look similarly priced.

Do I need a WISP if I only prepare a few returns?

Yes. A WISP is a Written Information Security Plan. Tax preparers count as financial institutions under the Gramm-Leach-Bliley Act, so the FTC Safeguards Rule, 16 CFR Part 314, applies to you. It requires a written security plan naming a qualified person in charge, a risk assessment, access controls, encryption, multi-factor authentication, staff training, vendor oversight and an incident-response plan. Breaches affecting 500 or more people must be reported to the FTC within 30 days. There is no small-firm exemption, so a solo preparer with one client is covered. Any new AI tool has to be named in your WISP and reviewed as a vendor. IRS Publication 5708 is a free WISP template.
