What could AI office help save your shop?

A free calculator for trade businesses. Put in your own numbers, jobs per week, minutes of paperwork per job, missed calls, and see what that office time and those lost calls could be worth every month. The formula is printed right on the page.

Free to use. Runs in your browser, nothing is sent or stored. No signup, no spam, no email needed.

The short version

  • This page is a calculator, not a sales pitch. You type in six numbers about your shop and it shows what your admin time and missed calls could be worth per month.
  • The math is simple and printed below the calculator. Admin minutes become hours, hours get priced at your own hourly value, and missed calls get priced at your own job value.
  • Everything computes in your browser. Nothing you type is stored, sent anywhere, or tied to an email address.
  • The defaults are just starting points. They are not industry averages, and this page does not claim any. Change every number to match your shop.
  • The result is not a promise. Software costs money too. Most tools listed in this directory with a published price band fall under $100 a month or between $100 and $300 a month, and you should subtract that cost from whatever the calculator shows.

What do admin time and missed calls cost your shop each month?

Answer with your own numbers. The calculator prices two things: the office hours you spend on scheduling, invoicing, and follow-up, and the calls you miss that could have been jobs. AI office tools are built to take over the first and catch the second.

Your shop's numbers

The numbers already filled in are adjustable starting points so you can see how the calculator behaves. They are not benchmarks or industry averages. Change all six to match your shop.

All billable jobs your shop runs in a typical week.
Scheduling, invoicing, reminders, and follow-up per job, added together.
What an hour of your time is worth to the business, billable rate is a fair stand-in.
Calls that ring out or hit voicemail while you are on a job. Each one is a possible lost job.
What a typical job is worth to your shop in revenue.
Your honest guess. Some callers leave a message or call back; some hire whoever answers next. The default is deliberately modest, set it to what you believe.

What your numbers say

Office hours per month
What that time is worth per month
Estimated missed-call recovery per month
Combined per month

Read this before you get excited: these are your numbers run through the formula below, not a promise from us or any vendor. AI office tools cost money. Of the 179 tools this directory lists, most with a published price band fall under $100 a month or between $100 and $300 a month; a few run $300 and up, and many are quote-based. Subtract the real subscription cost, and treat the missed-call line as the softest estimate here, since nobody recovers every missed call.

How the math works (the whole formula)

There is nothing hidden. A month is counted as 4.33 weeks (52 weeks divided by 12 months).

Office hours per month = jobs per week × minutes per job ÷ 60 × 4.33

Admin time value = office hours per month × your hourly value

Missed-call recovery = missed calls per week × 4.33 × lost-job % × average job value

Combined per month = admin time value + missed-call recovery

Worked example with the starting defaults: 25 jobs × 20 minutes ÷ 60 × 4.33 = about 36.1 office hours a month. At $75 an hour that time is worth about $2,706. Five missed calls a week is about 21.7 a month; if 20% become lost jobs at $350 each, that is about $1,516. Combined: about $4,222 a month. Your shop's numbers will be different, which is the whole point.

Common questions

Questions people ask about this calculator

Is this calculator's result a promise of savings?

No. The result is your own inputs run through the simple formula printed on this page. It shows what your admin time and missed calls could be worth per month if software recovered them, not what any tool will actually save you. Real results depend on the tool, your setup, and your shop. Subtract the software cost before you decide anything.

What does AI office software usually cost?

The Agentic AI Index lists 179 tools and shows each one's price as a band rather than an exact dollar figure, because vendor prices change often. Of the tools with a published price band, most fall in the under $100 a month band or the $100 to $300 a month band. A smaller group runs $300 or more per month, some have a free tier plus paid plans, and many are quote-based. Check the vendor's site for the current price.

Does this calculator send my numbers anywhere?

No. The math runs entirely in your browser on this page. Nothing you type is stored, sent to a server, or shared with anyone. There is no signup and no email capture on this calculator.

Where do the default numbers come from?

The defaults are adjustable starting points chosen so the calculator shows something before you touch it. They are not industry averages or benchmarks, and The Agentic AI Index does not publish claimed averages it cannot source. Change every input to match your own shop before you take the result seriously.
